Administrative Assistant

We are the largest provider of domestic violence shelter services in the State of Illinois and are on a path of growth to serve more who need our assistance.
We are looking for an Administrative Assistant at our suburban based main office.
Objective:
To provide administrative support to the members of the Executive Team and Board and Councils of WINGS.
Key
Responsibilities:
oServe as liaison to external stakeholders who seek to make contact with the President/CEO and Executive Team members.
oHandle and direct inquiries that come to the President/CEO's office.
oCoordinate President/CEO's schedule and assist with making travel arrangements.
oSchedule meetings and coordinate schedules for Executive Team members.
oManage correspondence, telephone and written, to and from the President/CEO.
oManage expense reports and credit card expense coding for Executive Team.
oAssist with activity tracking in Raiser's Edge NXT for President/CEO.
oCoordinate all aspects of meeting planning and arrangements for Executive Team members including communication of meeting details and materials, as well as answering inquiries and monitoring RSVP processes.
oProofread, finalize, and compose letters, memos, Power Point presentations and all other documents that are generated by the President/CEO and Executive Team members as requested.
oUndertake special functions, administrative, program, or research projects, as assigned.
oAct as primary point of communication for the President/CEO's office to WINGS leadership council members.
oAct as primary point of communication for Executive Team members to Board Committees.
oCoordinate logistics of WINGS Board of Directors and WINGS leadership council's meetings, and events, attend and provide minutes for these activities.
oCoordinate WINGS Board of Directors and WINGS leadership council's member onboardingFlexible start and end times and occasional weekend work is needed RequirementsoHigh school diploma or equivalent required.
oMinimum of 3 years of administrative experience, with at least one year supporting one or more executives required.
oExperience stewarding individual and organizational relationships preferred.

Full-time, regular, hourly, non-exempt Recommended Skills Administration Analytical Attention To Detail Confidentiality Coordinating Curiosity Estimated Salary: $20 to $28 per hour based on qualifications.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
